What does the AI actually do in the onboarding process?
Two jobs. It scores inbound enquiries against your criteria so unsuitable ones never reach your calendar, and it drives the follow up sequence on outstanding documents, adjusting timing and channel based on what the client has and has not returned. Judgement calls on client acceptance stay with you.
Is the qualification step a sales call in disguise?

We are a small practice with four staff. Is this relevant?
That sits inside the range we work with, which is firms with 2 to 20 staff. The smaller the team, the more partner time gets absorbed by onboarding admin, so the payback is often clearer than at larger firms. What matters is intake volume rather than headcount.
Are we locked into a contract, and what happens if we leave?
The arrangement is fixed monthly with no long-term contract. If you stop, the workflow documentation and process maps are yours, and we will export your client data in a usable format. Some clients start with acquisition and add onboarding later, which is a reasonable sequence.
Will this work alongside our existing practice management software?
Usually yes. The CRM sits alongside your existing tools and passes data across rather than replacing them, and integration is scoped during the mapping session before anything is built. If a particular system cannot be connected cleanly, we say so at that point rather than after.
