Customer automation system for accountant

Customer automation for accounting firms

Every enquiry followed up, without you remembering

Most firms lose more work to slow follow up than to price. Enquiries arrive, someone means to reply, and three days pass. Fiscal Flow builds the automation layer that captures, chases, qualifies and onboards each enquiry, works alongside your existing practice software, and has been implemented across 40+ accounting and CPA firms since 2024.

  • Enquiries answered within minutes, at any hour, in your firm's words
  • Chase sequences run for weeks so nothing quietly goes cold
  • Time wasters screened out before they reach a partner's calendar
  • New clients onboarded through one workflow instead of eight emails

No long-term contract. If the system is not producing more booked meetings from the same enquiry volume, you can stop, and the workflows stay documented so nothing is a black box.

Sound familiar?

Enquiries arriving faster than anyone can answer them

The marketing is working well enough. What happens next is the problem. An enquiry lands in a shared inbox, a partner sees it between two client calls, and the reply goes out on Thursday. By then the prospect has spoken to two other firms. Nobody is doing anything wrong, there is simply no system holding the process.

  • Enquiries sitting unanswered for days in a shared inbox
  • Partner time spent on calls with prospects who were never a fit
  • Onboarding a new client taking eight emails and two weeks

What a working system looks like

The same enquiries, handled by a defined process rather than whoever has a free ten minutes. Every stage is visible, every prospect has a next action, and the admin sits in the automation rather than in your team's day.

  • Instant acknowledgement and a chase sequence that runs on its own
  • Prospects qualified before booking, so calendars carry real opportunities
  • Digital onboarding: engagement letter, AML checks and data request in one flow
  • Fixed monthly arrangement, no long-term contract, workflows documented and yours

What changes once the system runs

Two firms who started with lead generation and expanded into CRM and automation once the volume made manual follow up impractical.

Will has been great since day 1 - clearly explaining his services, how the software works etc. and has responded quickly to any queries I have had. Since starting with Fiscal Flow last year, we have now seen a few clients added to our portfolio, with one of them being £250 + VAT per month, producing a great ROI. We haven't used any real advertising methods/software before (other than google ads) so i was sceptical - but really happy with how things have been going. I have now signed up for the CRM software/SEO side of things with Will and look forward to how this goes!

What you get

The three layers we build

Capture, qualification and onboarding, built as one connected system rather than three tools that each need someone to watch them.

01

Every Enquiry Captured And Chased

Enquiries from your website, ads and calls land in one pipeline with an owner and a next action. Automated acknowledgement goes out immediately, and the follow up sequence continues by email and SMS until the prospect replies or opts out. Nothing depends on someone remembering.

CRM pipeline
02

Only Qualified Prospects On Your Calendar

A qualification layer sits on the enquiry form and scores each prospect against your criteria: turnover, service required, current provider, timing. Annabel's calendar now carries high value opportunities because everything else is screened automatically before it reaches her.

03

Onboarding That Runs Itself

Once a prospect says yes, the workflow triggers the proposal, engagement letter, AML checks and data request in sequence, with reminders when a step stalls. It integrates with the practice software you already use, so records stay where your team expects them.

What clients say

Six reviews, different starting points

Firms come to us at different stages, some with no marketing at all, some with a site that was already producing enquiries nobody had time to handle.

Sector Understanding Delivered From Day One

“We've been genuinely impressed with Fiscal Flow. As an accountancy practice, we wanted a partner who understood our sector, and they've delivered on that from day one. What stands out most is how responsive and proactive the team is. Queries are dealt with quickly, and they regularly come to us with suggestions and improvements before we've even thought to ask. That kind of forward-thinking support is rare and makes a real difference to a busy practice. The service itself has been excellent throughout, and we're very happy with the results. Highly recommended to any accounting firm looking for a marketing partner who actually delivers.”

New System Learning Curve Practically Non-Existent

“I cannot recommend Will at Fiscal Flow highly enough. From start to finish, the experience has been seamless. Will is an absolute standout when it comes to communication. He is responsive, proactive, and genuinely invested in the success of the project. I never felt left in the dark; he kept me updated at every stage and was always available to answer questions with clarity and patience. The app and website interface are incredibly intuitive and easy to use. Transitioning to a new system can be daunting, but the instructional videos provided are top-tier—short, clear, and they make the learning curve practically non-existent. The website Will created for me is, quite frankly, absolutely phenomenal. It looks professional, runs fast, and perfectly captures my brand. Furthermore, the Lead Connector is a game-changer. It is remarkably simple to use and is already generating high-quality traffic and leads for my business. If you're looking for someone who delivers high-end results with a stress-free process, look no further than Will. Five stars all the way!”

Traffic Increase Noticed Since Going Live

“We couldn't be happier with the work Fiscal Flow has done for us. The website looks incredible, feels modern and professional, and has exceeded our expectations. Since going live, we've already noticed an increase in traffic, and the early signs are very encouraging. The team has been responsive, knowledgeable, and easy to work with throughout the process. We have high hopes for what this will achieve, and based on the results so far, we're confident we're moving in the right direction. Excellent service and highly recommended.”

Why this rather than a general agency

Built for practice workflows, not generic sales

A general CRM implementer will set up pipelines. They will not know what an engagement letter, an AML check or a January bottleneck does to your process.

📋

We Already Know Your Workflow

You will not spend the first two calls explaining engagement letters, AML requirements or why nobody has time for follow up between January and the end of the tax year. We work exclusively with accounting and CPA firms, so the workflow templates start from how practices actually onboard rather than from a blank canvas.

Getting started

Up and running in four steps

Most of the work sits with us. Your input is roughly two conversations and a look at what we have built before it goes live.

1

Answer six qualifying questions

The quiz on this page asks about enquiry volume, current follow up, and how onboarding runs today. It takes about two minutes and tells us whether automation is the right first move or whether you have a demand problem to fix first.

2

We map the current process

One call to trace what happens from the moment an enquiry arrives to the moment a client is onboarded, including where things stall. You will see the gaps written down, which most firms find useful on its own.

3

We build and test it

Pipelines, sequences, qualification logic and onboarding workflows are built and tested against real scenarios before anyone in your team touches them. Short walkthrough videos cover each part, so training is not a day out of the diary.

4

Follow up stops being your problem

Enquiries get answered the same hour, prospects arrive on your calendar already qualified, and onboarding runs to a defined sequence. The admin load stays flat while the client count moves.

An honest filter

Not worth it if

Automation multiplies whatever is already happening, which is a problem when the answer is nothing.

  • You receive fewer than a handful of enquiries a month; fix demand before automating follow up
  • You have no capacity to take on new clients for the next six months
  • You want the software installed but nobody in the firm will own the pipeline
  • You are looking for a one-off setup rather than a system that gets adjusted as it runs

If demand is the constraint rather than follow up, say so on the call and we will tell you which part to build first. Come back once you have enquiries worth chasing.

Questions

Questions firms ask before starting

Will this replace our practice management software?+

No. The automation layer handles the stages before a client is fully onboarded: enquiry capture, follow up, qualification, proposal, engagement letter and data collection. Once that is complete, the record hands over to the practice software you already run. Your team keeps working in the tools they know.

What actually happens on the growth call?+

You speak to Will Pettifor, who builds these systems, rather than a salesperson reading from a script. We map your current enquiry to onboarding process and identify where prospects are being lost. If automation is not your bottleneck, we will say so and you will leave with a clearer view of what is.

We are a small practice and our current process is messy. Is that a problem?+

It is the usual starting point. We work with firms of roughly 2 to 20 staff, and most arrive with follow up spread across an inbox, a spreadsheet and someone's memory. The mapping session exists precisely to document that mess before anything is built on top of it.

Are we tied into a contract?+

Pricing is a fixed monthly arrangement with no long-term contract. The workflows, sequences and pipeline configuration are documented and stay in your account, so if you stop, the system does not disappear with us. That is intentional.

How does the qualification layer decide who gets through?+

You set the criteria: turnover band, services required, whether they have a current accountant, and timing. The form scores each enquiry against those rules and routes accordingly, with borderline cases flagged for a human rather than rejected. One client now sees only the enquiries that meet her thresholds, with everything else screened before it reaches her calendar.

Will automated follow up sound like it came from a robot?+

The sequences are written in your firm's voice and reviewed by you before they go live. They are short, specific and reference what the prospect actually enquired about. If a message would make you wince reading it aloud, it does not ship.
